QuickBooks in Muse: what Meta's connector can read and change
- Last verified
- Updated Published
Intuit QuickBooks is on the connector list in Meta's post introducing Muse for small business, and it shows up on almost every one of our trade guides. This page looks at the connector itself: what Muse can pull out of your books, what it can do in them, how the link is set up and taken down, and what Meta and Intuit each say they do with the data that passes through it. It's for owners and the bookkeepers who work for them.
What the labels mean here:
| Label | Meaning on this page |
|---|---|
| Confirmed by vendor | Meta, Intuit or Zapier publishes it itself: help articles, developer documentation, terms or a company blog. |
| Unverified | We looked and found nothing we'd rely on, or only a forum post. |
How we built it: on Oct 28, 2026 we read Meta's launch post, help article, terms, privacy policy and connector rules, Intuit's blog post, help articles, privacy statement and developer pages, and Zapier's docs. We didn't sign in to Muse or connect it to a QuickBooks company, so nothing here has been tested, and we haven't seen the connector's settings screen. Intuit has published no help article about Muse that we could find, so several basic questions below stay open.
Short version
- Intuit says the connector lets Muse pull a P&L and a cash-flow view over whatever period you pick, show a balance sheet set against industry peers, point out the customers and products bringing in the most revenue, track overdue invoices, and create and send invoices customers can pay online, plus payment reminders. (Confirmed by vendor 6)
- Intuit keeps payroll, closing the books, tax filing and complex cash-flow planning inside QuickBooks, and says it decides which QuickBooks features the connector exposes. (Confirmed by vendor 6)
- Meta's launch post says your approval has to come first before Muse publishes, sends or spends, and its connector rules make the most sensitive actions ask every single time. (Confirmed by vendor 1 3) Meta isn't approving new connector tools that move money between accounts. (Confirmed by vendor 3)
- Muse's AI-training setting is switched on from the start, and it covers information that arrives through connectors; you can switch it off under Data controls. (Confirmed by vendor 5)
- Meta's terms warn that Muse's answers can contain material errors and tell you to check them yourself. (Confirmed by vendor 4) A person should still review the numbers before anyone acts on them.
What Muse can read and change
| What | In the connector? | Label and source |
|---|---|---|
| P&L and cash flow, any period | Yes, read (Confirmed by vendor 6) | Confirmed by vendor 6 |
| Balance sheet, with a comparison to industry peers | Yes, read (Confirmed by vendor 6) | Confirmed by vendor 6 |
| Which customers and products earn the most | Yes, read (Confirmed by vendor 6) | Confirmed by vendor 6 |
| Overdue invoices | Yes, tracked, with reminders sent to the customer (Confirmed by vendor 6) | Confirmed by vendor 6 |
| Invoices | Yes, created and sent, with online payment turned on (Confirmed by vendor 6) | Confirmed by vendor 6 |
| Payroll, month-end close, tax filing, complex cash-flow scenarios | No, these stay in QuickBooks (Confirmed by vendor 6) | Confirmed by vendor 6 |
| Bills, expenses, bank feeds, journal entries, deletes or voids | Not mentioned by Intuit or Meta; we don't know (Unverified) | Unverified |
In Intuit's example, a new plumbing business asks Muse how to bill for last week's job, and Muse, with the owner's permission, creates the invoice in QuickBooks and sends it so the customer can pay online. (Confirmed by vendor 6) Intuit doesn't say whether a new invoice goes out at once or waits as a draft, or whether the connector can edit or void one afterward. (Unverified)
Connecting it
Meta's help article says you add a connector from Settings, then Connectors, choose Connect and Continue, and finish the sign-in steps; you can also ask Muse to set one up in chat. (Confirmed by vendor 2) Muse's terms require users to be at least 18, and make you responsible for setting up each connection and its permissions. (Confirmed by vendor 4) Meta says Muse is available in the US and Canada. (Confirmed by vendor 1)
What we couldn't pin down:
- QuickBooks Online or Desktop. Neither Meta nor Intuit says which QuickBooks products the Muse connector supports. (Unverified) For comparison, Intuit's help article for its ChatGPT connection requires an active QuickBooks Online subscription and says that connection is offered to US customers. (Confirmed by vendor 9) Intuit's open-source MCP server signs in to a QuickBooks Online company, and Zapier says it doesn't support QuickBooks Desktop. (Confirmed by vendor 12 15) If you run Desktop, expect to need something else.
- Plans and countries. On Intuit's community forum, a member tagged QuickBooks Team wrote that the Muse connection works in the US and Canada for people 18 and over and needs a Meta account; the question above it came from a user in Canada who said Muse had told them it wasn't offered there. (Unverified 16) We found no plan requirement from Intuit. (Unverified) Meta's rules ask connector makers to disclose plan, region and age limits, so the connector's own screen may say more. (Confirmed by vendor 3)
- Which QuickBooks users can connect. We found nothing from Intuit naming the roles allowed to link Muse. (Unverified) Intuit's roles article shows how much access differs: the Bookkeeper role, for example, can't open the profit and loss, balance sheet or cash flow reports, and the reports-only role sees reports but not transactions. (Confirmed by vendor 8) Whether Muse is limited to what the signed-in user can see isn't documented. (Unverified)
Permissions and approvals
Meta's connector rules sort every tool into read, write and sensitive write. Reads and writes from connectors Meta lists ask on first use and can later be set to Always allow, as long as they aren't sensitive; a sensitive write asks every time, offering only Allow once or Deny. If a detail of an approved action changes, Muse has to ask again. (Confirmed by vendor 3) Meta's help article adds that plenty of connectors can be limited to fetching data, and that approval settings can be changed later in Settings. (Confirmed by vendor 2)
Meta asks connector makers to offer a read-only option through OAuth where they can. (Confirmed by vendor 3) We found no list of the OAuth scopes the QuickBooks connector requests, no statement that it has a read-only mode, and nothing saying whether sending an invoice counts as a sensitive write. (Unverified) Check the approval screen when you connect, and leave invoice sending on ask.
The terms also tell you not to let Muse take state-changing actions, such as financial transactions, without a person reviewing them, and say losses from financial actions are yours, that some transactions can't be undone, and that Muse isn't a financial adviser. (Confirmed by vendor 4)Disconnecting
In Muse you can disconnect at any time from Settings, then Connectors. Meta warns that details from the connected app may stay in Muse's memories and conversation history afterward, and you can ask Muse to forget them. (Confirmed by vendor 2)On the QuickBooks side, Intuit's general advice for connected apps is to sign in as an admin or as a user with the Third Party Apps permission, open Integrations, then Manage integrations, and choose Disconnect from the app's menu. (Confirmed by vendor 7) We couldn't confirm that Muse appears in that list. (Unverified) Meta requires connector makers to delete user data once access is revoked. (Confirmed by vendor 3)
What happens to your data
- Meta's training setting. Under Muse's privacy policy, training Meta's AI on your interactions is on by default from your first use, that those interactions include information from connectors, and that turning it off under Data controls applies to earlier interactions too. Meta says it strips certain personal details, such as names, email addresses, phone numbers and Social Security numbers, and separates the data from your account first. (Confirmed by vendor 5) The terms also give Meta a license to content from connected services, and let Meta access and keep logs of what Muse does. (Confirmed by vendor 4)
- What Muse passes to Intuit. Meta says Muse sends a connected app only the data needed for the request. (Confirmed by vendor 2) Its connector rules bar connector makers from using the data to train models, from selling it and from unrelated advertising. (Confirmed by vendor 3)
- What Intuit says. Intuit says partners may, with customers' permission, draw on chosen data to sharpen their answers and to call the right connector, and that the data serves only to help customers get their work done. (Confirmed by vendor 6) Intuit's company-wide privacy statement says it may use how customers use its platform to train its own AI and machine learning models, and that linking your account to a platform partner directs Intuit to share your information with that partner. (Confirmed by vendor 11) We found no Intuit statement written specifically about what it keeps from Muse requests. (Unverified)
Intuit's own MCP servers
Some owners and developers will want to skip Meta's connector and reach QuickBooks another way.
- Intuit publishes an open-source QuickBooks Online MCP server on GitHub. It runs on your own machine, needs an app registered on Intuit's developer portal with OAuth, and offers 145 tools for creating, reading, updating and deleting 29 kinds of record, including tools that void invoices and payments. Turning on its three DISABLE flags, for writes, updates and deletes, leaves only the read and search tools. (Confirmed by vendor 12)
- Intuit also documents an invite-only pilot of a hosted QuickBooks MCP server for partners, whose tools cover customers, products, estimates, sales orders, invoices (including creating, sending, updating and deleting them) and payment links. (Confirmed by vendor 13) Nothing we read says whether Muse's connector is built on either server. (Unverified)
- Hooking one of these up to Muse would make it a custom connector, whose login details are kept in what Meta calls the Secure Credentials Store and which Meta doesn't review. (Confirmed by vendor 2)
| Software | In Meta's launch-post connector list? | How else it connects | Label and source |
|---|---|---|---|
| Intuit QuickBooks | Yes (Confirmed by vendor 1) | Intuit's local MCP server, or its hosted pilot server for invited partners (Confirmed by vendor 12 13) | Confirmed by vendor 1 12 13 |
| Zapier | Zapier's docs describe connecting it from Muse's Connectors settings; Meta's launch post doesn't name it. (Confirmed by vendor 14) | Zapier is the bridge | Confirmed by vendor 1 14 |
Zapier says its QuickBooks Online app works on Simple Start, Essentials, Plus and Advanced, marks it as a Premium app, and offers an action that creates invoices. (Confirmed by vendor 15) Zapier charges two tasks against your plan for every successful tool call made through its MCP server. (Confirmed by vendor 14)
Risks to keep a person on
Invoices and payment reminders go to real customers
Creating and sending invoices and reminders are the connector's write actions, and the invoices can take payment. (Confirmed by vendor 6) A wrong amount or the wrong customer lands in someone's inbox with your name on it. Read every invoice before you approve it, and don't switch these tools to Always allow even where Muse lets you.
AI bookkeeping can be wrong
Meta's terms say Muse's output may be inaccurate or contain material errors, should be confirmed independently, and isn't legal, financial or tax advice. (Confirmed by vendor 4) Intuit, for its part, calls the financial intelligence it brings to AI platforms accurate and compliant. (Confirmed by vendor 6) Treat a report Muse summarizes as a starting point and open the same report in QuickBooks before you lend, borrow, hire or file.
Tax preparers and accounting firms
If you prepare returns or keep books for clients, read our bookkeepers and accountants guide first. It sets out, with government sources, the FTC's Safeguards Rule and the IRS guidance on a written information security plan, and we don't repeat them here. If you do connect a client's books, list the Muse connector among the systems your plan covers, and ask whether that client's data belongs in Muse at all.
Health information
Intuit says QuickBooks Online doesn't meet HIPAA's privacy standards and advises health care providers to keep identifiable patient health information out of it. (Confirmed by vendor 10) Keep patient names and treatment details out of invoices and out of Muse prompts. Our dental and medical offices guide covers HIPAA in more depth.
Data you can't fully pull back
Disconnecting stops new exchanges, but details already saved to Muse's memory can remain until you ask Muse to forget them. (Confirmed by vendor 2 5) Decide on the training setting before you connect your books, not after.
Treat this page as a summary of published sources, not as accounting, tax, legal or data security advice. Check the connector's own screens in Muse and QuickBooks, which may have changed since we read these pages.
